Booking

Note: This form is only if you want to book an event in the venue. If you want to come and play in The Arena or The Battlefields you need to purchase a ticket here.

This form is not a booking confirmation, it is only a booking request. No booking is confirmed until specifically agreed with the venue. Please note occasionally even confirmed booking dates may have to change subject to future venue requirements but this will be done only as a last resort.

For Larger Events (50+ Players and SWGC only)
  • Free access from 3pm for your players to The Battlefields on the Friday before the event.**
  • Access to a PA System, Internet, printer, TO laptop and large screen displays
  • The ability to live stream your event with commentary if required (this must be confirmed one week before the event date).

** NOTE: Players must still purchase a Wargame ticket by selecting the free 'Weekend Event Attendee (From 3pm)' Ticket option. The game being played must be the same as the event the player is attending. Players that do not book online for this option may not be able to play if we don't have enough space and will have to pay for a casual wargame ticket at the venue. In order to be available this option must be specifically requested in advance by an event organiser and confirmed as being available with the venue.

Event Cost

The standard cost for an event in The South Wales Gaming Centre is £7.50 per person for a one day event and £13.50 per person for a two day event for any tabletop events, with an additional £5 per person for each extra day. For painting workshops the standard cost is 10% of the event ticket price or £7.50 per person for a one day event or £13.50 per person for a two day event, whichever is higher. For non tabletop games cost is on application. Event costs are as stated unless different terms are specifically agreed with The South Wales Gaming Centre beforehand. The cost for an event in Swindon or Newport is as per any specific agreement with the venue.

Payment

Full payment for an event is required on or before the first day of the event - unless different terms are specifically agreed with the venue.

The number of players attending an event in The South Wales Gaming Centre should be confirmed no later than two weeks before the date of the event here.

 

Catering (SWGC only)

For events with more than 16 players our on-site cafe facility offers a choice of three different lunch menu options starting from £5.00 per person per day.

It is strongly recommended that events with 24 players or more select the 'Food required' option for their event by selecting an appropriate menu choice. Booking food provides a discounted rate for meals and ensures the cafe is prepared and ready to service your event lunch.

Events that do not pre-book food may not be able to access the cafe during other event meal times and there could be a delay in serving their attendees Lunch. Booking Lunch is the cheapest and most efficient way to provide your event with lunch.

For events that book food, this is booked for all players in attendance or none at all.

Menu Options

Each menu has at least three hot food options available, one of which is always vegetarian and usually vegan.

Any dietary requirements i.e. food allergies, or any specific dietary requests, must be confirmed to The South Wales Gaming Centre no later than two weeks before the date of the event here.

Breakfast Option

A breakfast option, by direct purchase from the cafe, can be made available for events with more than 24 players attending and where a hot lunch has been booked if requested as a comment on the booking request form.

Data Privacy

We require all Tournament Organisers to implicitly agree to treat all personal information relevant to an event they are running in any venue as confidential and to comply with all current Data Protection, GDPR and consumer legislation when running an event in any venue.

Early/Late Opening Costs

For each day of an event where access to the venue is required before 9am a charge of £10 per hour, or part thereof, is required and a charge of £25 per hour, or part thereof, if access to the venue after normal closing time is required. These costs, if incurred, will be automatically added to the cost of the event - unless different terms are specifically agreed with The South Wales Gaming Centre beforehand.
